It is your responsibility to check that the details on your booking confirmation are correct and notify us immediately of any discrepancies. We cannot accept responsibility for any errors.

We do not accept group bookings anywhere on site.

Payments 

A non-refundable 20% deposit is payable at the time of booking (bookings can also be paid for in full at the time of booking), with the balance due 30 days before your arrival.

A reminder will be sent by email 7 days before the due date and a final reminder on the due date, any bookings not paid for in full by this date will be re-let and all monies already paid are non-refundable.

Bookings made within 30 days of arrival must be paid in full at the time of booking.

We do not accept cheques.

Cancellations, Amendments & Refunds

Your booking is a legally binding contract & only for the named people, it is not transferrable.

Deposits are strictly non-refundable and non-transferable.

If cancellations are made less than 30 days before the arrival date no refunds can be given.

If cancellations are made more than 30 days before the arrival date, the balance (less the 20% deposit) is refundable.

All booking cancellations carry a £25 admin fee.

Alternatively, the booking can be transferred with the deposit to another date within 6 months of the original date (subject to availability) this can only be transferred once. Any increase in cost by changing the dates will be due.

All booking amendments carry a £15 admin fee.

All cancellations must be made in writing either by post or email.

If changes are not possible and you do not want to keep the original booking it would have to be considered as a cancellation and the terms above apply.

Cancellations that arise due to COVID-19 will not be refunded in the event you cannot travel and we therefore strongly advise that you take out adequate travel insurance for this purpose; however, you will be able to amend/transfer a booking as per the above T&Cs.

If the site must close by order of the government, then we will offer you an alternative date for your holiday with no financial penalty, if you choose to cancel in that situation then the refunds due will be as per the cancellation terms above.

We reserve the right to cancel or terminate a holiday where the client has failed to disclose all material facts as required – it is your responsibility to ensure at check-in that you have declared all family members on your booking, cars, units, gazebos and extras and paid for any discrepancies found.

Early departure

No refunds will be offered for early departures from the park.

Pitch position

We do not guarantee pitch numbers or locations especially in high season, but we will always do our best to help where possible.

We do not accept group bookings and therefore cannot guarantee pitches alongside or near to another party.

Arrival and Departure

Arrival 

Arrival times on site are between 2pm and 6pm.

Late arrival 

There are Strictly no arrivals after 8:00pm. Please ring or text us if you intend to arrive between 6pm and 8pm on the arrival day so that we can ensure someone is available to check you in.

Please note that a surcharge of £5 per booking is applied for late arrivals.

Check-in

On arrival at the entrance security gates please call the main business tel no 01308 308052 (Mon-Sat 9-6pm) & give them your last name & booking reference; you will then be met & shown to your pitch & given the current gate code for your booking.

If you are arriving between 6-8pm you will need to call before 6pm to let us know otherwise you risk being delayed being checked in.

Departure

Departures from the site must be no later than 11am.

The care of your pitch is your responsibility for the duration of your stay and it must be left clean and tidy when you leave.

A late departure may be possible but you must check first.

Vehicles & access

There is no site access to vehicles between 10:30pm and 8am and cars must be parked in the designated late-night area, you will be shown this on arrival.

We do NOT accept commercial or sign written vehicles onto site anywhere.

All vehicles entering the site must be roadworthy, carry an up-to-date MOT certificate, be fully insured & the driver must hold a full driving licence.

Guest Responsibility 

By booking a pitch, you agree to the above terms and conditions and the following site rules

Visitors  

Visitors may only be accepted onto site in low or mid-season. This must be approved by a member of staff prior to their arrival and any fees paid.

Up to a maximum of 4 visitors per pitch per day.

All visitors must report to reception to sign in and pay the daily visitors fee of £2 per person (children under 14 are free) and £5 per vehicle. They can then stay & park on site for the day and use the facilities as your guest.

All day visitors must leave the site by 8pm or pay the appropriate overnight fee.

You are responsible for your visitor’s behaviour, please ensure they are familiar with our site rules and ensure they are followed.

Tour & Camping Site Rules

Entry to the site

Persons under the age of 18 are only allowed on site if they are with an adult throughout their stay.

We do not accept group bookings on site.

We do NOT accept commercial or sign written vehicles onto site anywhere.

There is a strict 5mph speed limit in force on site and a one-way system is in operation.

All vehicles entering the site must be roadworthy, carry an up-to-date MOT certificate, be fully insured & the driver must hold a full driving licence.

Only holders of a full driving licence shall drive a vehicle on site.

In extreme wet weather there is no driving or parking on grass anywhere on site.

The main site entrance gates are alarmed from 10:30pm to 8am for site security.

There is no site access to vehicles between 10:30pm and 8am and cars must be parked in the designated late-night area, you will be shown this on arrival along with the pedestrian access route.

When entering and leaving the site please ensure the double gates are always closed.

Visitors may only be accepted onto site in low or mid-season. This must be approved by a member of staff prior to their arrival and any fees paid.

Day visitors must leave the site by 8pm.

You are responsible for your visitor’s behaviour, please ensure they are familiar with our site rules and ensure they are followed.

Noise and general behaviour

You are responsible for the noise on your pitch; we operate a strict no noise policy between 10:30pm and 8am.

The destruction of trees, shrubs, or wildlife is strictly forbidden.

All guests are liable for any damage caused on site by themselves or a member of their group, including visitors. Please ensure children are aware of what is acceptable behaviour in this regard.

Any damages or breakages must be reported or we will seek to recoup our losses through CCTV evidence.

Please avoid inconsiderate use of radios, other music devices or musical instruments.

We are a non-smoking site. All facilities are strictly non-smoking. If you choose to smoke in your own unit or on your pitch, tins can be taken from reception for use as ashtrays. Do NOT throw cigarette butts on the ground anywhere on site.

We do not allow supermarket deliveries on site, if you wish to arrange a delivery, please contact us for details of how to arrange a delivery off site.

Ball games are not permitted on your pitch or around other units please use the dedicated area in the middle of the Big Field.

We do not allow bikes, scooters, or skateboards anywhere on site; there are off road cycle routes nearby and Lyme Regis & Bridport both have indoor & outdoor skate parks.

Kites are not permitted on site, however (with prior permission), they can be flown in some of the surrounding fields away from units, people and overhead cables.

No sky lanterns are permitted on site.

Caravans and motor homes can only be washed on site with prior permission from reception. There is a £10 surcharge for water use.

The Site is part of a larger working farm; therefore, we would ask you to be aware of all tractors/machinery and animals. Please ensure you and your children keep a safe distance from them.

Children

Children must be under the supervision of a parent or guardian at all times.

They must not be allowed to run around the site unsupervised and cause a nuisance or danger to themselves or others.

Please be aware that the site has two large, unfenced, deep water fishing ponds; it is therefore vital that you know where your children are at all times.

Children are not allowed to use the pool table & games tables unsupervised, if found doing so they will be asked to leave. This area is under CCTV and any damages will be charged for.

Litter and waste disposal

Each pitch must be kept free from litter, please use the bins provided.

Please use the recycling bins provided ensuring only the correct items are placed in the bins, this area is under CCTV.

Please take home any large bulky items e.g tents, awnings and gazebos or broken chairs, loungers and airbeds. Anyone seen leaving any of these items (or similar) will be charged on the card they booked with at £25 per item.

Dog mess must NOT be placed in any bin in this area, please use the dog poo bin in the dog exercise area.

Hot ashes and disposable BBQs must be emptied into the metal bin provided, and not in the plastic bins or boxes.

Waste

For our fully serviced pitches you will need 10m of grey flexi waste hose, 10m or more of blue

water hose along with the connection of the end suitable for your caravan/motorhome. We do not provide tap connectors so please ensure you travel with a couple.

Grey wastewater is to be emptied outside the main shower block in the drainage area marked General.

No toilet waste can be put in our grey waste water drains.

Use of showers toilets and sinks

Shower, washing and toilet facilities are provided for your convenience and should be left clean and tidy, as you’d expect to find them.

Children under 8 are not allowed in the shower block unsupervised, this rule is strictly enforced.

Used nappies and sanitary towels must be placed in the bins provided and must not be flushed down the toilets.

Solid waste material must not be dumped in sinks or drains.

BBQs must be washed using the outside taps and not in the dishwashing room. Paper towel is provided for greasy pans etc as fat blocks the delicate microbial balanced sewage treatment plant on site, as does antibacterial washing powders & liquids.

Chemical toilets 

Only green chemicals are allowed on site and they must only be emptied in the designated ELSAN emptying room – this includes overnight buckets & potties; anyone caught emptying their toilet waste into the main shower block facilities will be subject to a charge comparable to emptying and refilling the sewage treatment plant (over £800!) and asked to leave site immediately.

Fires and barbecues

Open fires are not allowed on site.

Firepits are available to hire as an optional extra with your booking or once on site (subject to availability). We DO NOT allow other fire pits to be brought onto site.

When hiring a fire pit please pay strict attention to the safety guidance in the hire contract: Fire Pit T&C

All firepits must be put out by midnight – we will extinguish any firepits still alight after this time or any that are left unattended.

Portable BBQs are permitted but must be attended to by an adult, kept at a safe distance from your unit and those around you, kept off the ground by legs or stands and are not allowed to burn the ground beneath.

We reserve the right to charge for any damage caused.

For your own safety, gas bottles and BBQs must not be used inside tents or awnings, please extinguish after use and leave outside.

Tents and awnings

Halogen heaters and lamps are forbidden on site in awnings and tents.

In times of adverse weather, you may be asked to collapse down your gazebo and/or awnings for safety.

Please pitch a minimum of 3 metres from your neighbour if in a tent & 6m if in a caravan. Your guy ropes must remain within the marked area of your pitch, please ensure you book the correct sized pitch for your unit.

Only breathable groundsheets are allowed on grass pitches on site, if you are using non breathable groundsheets, you must choose a hardstanding pitch.

Electric Hook up

Tents using electric hook up connection must have the correct hook up equipment, which should be waterproof & house a 10 amp double pole MCB & a 25amp RCD. Homemade equipment is not permitted both for safety and so as not to inconvenience others on site with unnecessary electrical trip outs.

EHU supply is 16 amp throughout the site. Please use items such as microwaves on a one by one basis and avoid putting on too many items such as kettles, toasters, hairdryers and electric ovens  at once as this will lead to the electric tripping and inconveniencing others on site.

We are responsible for the EHU to the point of connection, from this point on you must ensure that your appliances and the leads you are connecting with are safe and fit for purpose.

Below are the acceptable leads for use on site. The left hand one is for camping and tents, the right hand one is for caravans & motorhomes. No others are allowed to be used on site.

It is your responsibility to ensure the safety of your gas appliances & equipment and see that they are regularly maintained.

No electric or hybrid vehicles to be charged on pitch – please use the on site EV car charging point for this purpose.

No generators to be used on site.

Dogs

There are a maximum of two dogs allowed per pitch.

We cannot accept dogs that are likely to cause a nuisance to other guests for example dogs who bark excessively or are aggressive or any on the dangerous dogs list.

Dogs must be kept under control and on a lead at all times unless they are using the large, off lead, fenced dog exercise area.

Dogs must not be left unattended in caravans/motorhomes or tents at any time.

Dog owners must clean up after their dogs around the site, in the dog exercise area & the wider surrounding farmland and fields. This mess must be placed in the dog poo bin which is located by the dog exercise area – do not place dog poo in the general bins.

Dogs are not allowed in the shower blocks, please use the heated dog wash & dry room on site.

Anyone whose dog causes a nuisance to other guests or fails to abide by these conditions may be asked to leave the site with no refund.

Laundry

There are rotary washing lines on site for the purpose of drying towels and clothes. We do not permit washing lines and you cannot put clothing on the perimeter fencing or hedges.

There is a tumble dryer in each shower block on site that guests can pay to use. The laundry is always open but please be respectful of other guests and avoid putting washing on that will spin late at night or early in the morning.

You will need £1 coins and 20ps to use the washing machine & tumble dryer and will need to provide your own pegs.

You will need to provide your own pegs.

Firepits & log burners (where applicable)

Attached to your booking confirmation are the following T&Cs for Firepits & Log burners, please print, read & sign this and bring it with you to hand over at check in, failure to do this will mean you will not be able to use these facilities during your stay.

Glamping fire pit t&cs

We DO NOT allow other firepits to be brought onto site.

Security Deposit

A security deposit of £100 is taken at the time of booking.

It is refunded in full, 7 working days after your departure date, provided:

• The unit has been left clean & tidy, with all washing up done in both the outdoor kitchenette, the shared kitchen and inside your unit.

• The key has been left inside the unit where it was on check-in.

• The hot tub has been used in line with check in guidance and hot tub instructions displayed.

• Your stay has complied with our acceptable standards of behaviour and site rules.

Failure to comply with any of the aforementioned will result in the following deductions from your deposit, including but not limited to:

• £20 – late departure housekeeper waiting charge

• £30 – replacement key charge

• £30 – evidence of smoking in or around the units

• £25 – washing up charge

• £50 – hot tub deep clean/filter replacement (evidence of make-up/fake tan/oils/food/alcohol etc)

• £100 – damage to furniture/furnishings, late night noise, not complying with our standards of behaviour, or committing a criminal act.

Arrival and departure

Arrival 
Arrival times at The lookout Cabin from 3pm onwards.

Please indicate your arrival time when booking.

Late arrival 
There are Strictly no arrivals after 10:00pm.

Check-in
Please go directly to the Lookout Cabin and not the reception at the Dorset Hideaway.

The Lookout Cabin is in the entrance to Riverside clearly marked from the road (opposite the concrete farmyard and next door to Ramsons).

Please park next to the steps & sign for the Lookout cabin.

Departure
Departures from the Lookout Cabin must be no later than 10am.

The care of the Lookout Cabin is your responsibility for the duration of your stay and it must be left clean and tidy when you leave.

Vehicles & access
The drive gates are alarmed from 10:30pm to 8am for security, there is no access to vehicles during this time.

We do NOT accept commercial or sign written vehicles.

Visitors
We do not accept visitors in the Lookout Cabin.

By booking the Lookout Cabin, you agree to the above terms and conditions and the following rules

Lookout Cabin Rules

Entry to the Lookout Cabin

The Lookout Cabin is for adults only.

We cannot accept pets in the Lookout Cabin.

We do not accept commercial or sign written vehicles.

We expect you to consider other guests, our staff, and our property by behaving in a civil, polite manner and not to do anything that is detrimental to site.

Spa Booking Conditions

All Individual treatments require a 50% deposit payable in advance at the time of booking. Payment is by BACS (details will be given when booking). The balance is payable on arrival at the Spa, on the day, either by BACs, debit card or cash. Please note we do not accept credit cards.

Full payment of Spa Packages & Day/Half Day Spa Hire will be required upon booking.

For us to provide our clients with the best possible service, we request you arrive a few minutes before your appointment time, in order to make full use of your treatment time and consultation.

As a courtesy to our other spa clients, we endeavour to ensure that treatment times are adhered to and consequently may not be able to treat clients who arrive late.

Latecomers will still be charged the full fee for shortened treatment times. If you are having a body treatment we will provide you with a robe, towel, and slippers/flip flops upon arrival. (To avoid extra charges these must be returned after use). Swimwear must be always worn when using the wet areas. (Please be prepared to change out of wet clothing when having treatments).

Cancellation Policy

Spa treatments/packages cancelled 7 days or more before the appointment date will be charged a cancellation/amendment fee of £20 and the balance refunded or the appointment can be transferred to another date, subject to availability.

Spa treatments/packages cancelled less than 7 days before the appointment date will be charged a cancellation/amendment fee of £30 and the balance refunded or the appointment can be transferred to another date, subject to availability.

Spa treatments cancelled 48 hours or less before the appointment date will be charged the full 50% deposit fee and so no refund will be due and then if rebooking will need to pay the full treatment/package cost for the next appointment. If a package was booked and payment was made in full, 50% deposit will be non refundable and the balance can be put towards an amended appointment date or refunded.

Non arrivals are charged in full and no amendments will be accepted.

Spa Etiquette

We politely request that you respect other guests and the ethos of the spa & keep noise to a minimum, please talk quietly to ensure the Spa area remains a haven of tranquillity and relaxation for everyone. This particularly applies when using the Spa Garden & Hot Tub and deck area where sounds travel easily across site.

Please switch your phone off prior to entering the Spa.

No music is to be played in the Spa without prior consent.

Please leave your personal belongings and valuables in lockers, it is advisable to leave expensive jewellery at home, as it cannot be worn either during treatments or using the wet areas of the Spa.

We offer a strict No Smoking/Vapour free environment to all our guests. This applies throughout the Spa, outdoor garden area, deck terrace and hot tub area and entrance/car park area.

Please arrive showered & clean for individual appointments to avoid refusal. Spa day/package bookings can use the shower & changing facilities.

During treatments guests are asked to keep underwear on as the therapist is trained in draping techniques to ensure your modesty & comfort. You will always have privacy to change and dress again afterwards.

Medical & Allergy Information

Some treatments are not suitable for certain medical conditions, please inform us on booking of any pre-existing medical conditions and we strongly recommend you consult your doctor before booking any treatments. This particularly applies to first and last trimester pregnancies.

You must declare any surgery that has taken place in the last 12 months before your appointment. If surgery has taken place in the last 12 months your treatment may be cancelled. If surgery is less than 3 months we cannot accept any bookings in these circumstances as well as if you are still undergoing radiotherapy or chemotherapy.

Please inform us if you have ever had a DVT (deep vein thrombosis). Any conditions requiring life maintaining medication will not be accepted.

A patch test may be required 24 hours prior to certain treatments, please consult our spa therapists if you have any skin conditions, such as Psoriasis or Eczema, as well as any other allergies or conditions that may affect your treatment, for example a nut allergy.

To avoid disappointment please consult a medical professional and bring a Doctor’s note clearing you for any treatments. Treatments may be cancelled at the discretion of our spa therapist.

Spa Terms & Conditions

The minimum age requirement for use of the Spa and any treatments is 18. Prices and treatments are subject to availability and change.

If you are thought to be under the influence of alcohol or drugs you will be refused your treatment.
